Exchequer Accounting Software Features

Exchequer is demonstrably easy to use and effective compared with other accounting software. The following page will hopefully go some way to demonstrating its 'look and feel', showing you how logical it is to use; how all information is easily accessible; and how powerful it will be as a tool harnessed within your organisation.

Object-Drill®

In a fast-moving business environment, you need to find information instantly. Imagine dealing with a query on a purchase transaction and being able to jump immediately to any information regarding the supplier, stock item, job record, original order, image of the delivery note, serial number, or any other documentation (such as letters, quotes, specifications or images) linked to any of those records. Exchequer utilises the latest technology to provide such a feature. Once experienced, you could never be without it!

A unique benefit for your business Object-Drill® is unique to Exchequer and can be used throughout the entire system. Whenever you are viewing a transaction, Object-Drill® displays an active list of associated links. By clicking on any of the links, you can display the related data.

Selecting Object-Drill® whilst viewing a sales order displays a list of records linked to it, including the customer record, a purchase order, a works order, sales invoices, stock items and serial numbers.

Object-Drill® can also be used to jump across to the stock record, giving access to the full history of sales and purchases of the stock item in question. You can also view any links to the stock record, such as images or specification sheets.

Object-Drill® can also drill-down on the purchase order to display it in full. As with all transactions, this can be printed, faxed or emailed using Exchequer's Paperless module. If the goods were manufactured or assembled, then you can also drill-down into the original order; drill-down into any invoices that have been generated from the order; and view serial number tracking details and historical notes for the item on the order.

Security

Virtually every option and button within Exchequer can be password-controlled, providing you with the ultimate security options. Rather than being 'greyed-out' in menus, options will simply disappear completely from view if a user does not have access. So the security of your accounting can be as tightly controlled as possible: more people within your organisation can access the system, yet you can protect selected parts or make them 'invisible' to unauthorised users.

High and transparent levels of security add to the flexibility that Exchequer offers as an accounting and business software system. The Enhanced Security and User Profile element of Exchequer enables users to:

Daybooks

All transactions are entered via a 'daybook', where they can be held before being posted to the General Ledger. This gives all the advantages of live updates of customer, supplier and stock balances, with the flexibility to review and amend transactions (with strict password control) before committing them to the General Ledger.

Each daybook has an 'Auto' tab, which is used for generating recurring transactions, in the Sales, Purchase and General Ledgers. It's ideal for rental or contract invoicing, direct debits, standing order and regular journals, such as depreciation, pre-payments and accruals.

The daybook is a good example of how Exchequer has combined several areas of the system into one single window, making it simple to navigate and therefore easier to use. In most systems, sales invoicing, cash receipts, order entry and setting up regular invoices would all be performed in different parts of the system. In Exchequer, the design contains all of these functions within one 'sales daybook' window, using the tabs at the top to separate each area

Drill-Down

Drill-down is a system-wide feature available in Exchequer, and an essential tool for busy accounts offices where data accessibility is necessary. The ability to drill-down to the originating transactions instantly is an incredibly powerful resource for performing daily queries and analysis.

Take viewing the General Ledger: the innovative design of Exchequer allows users not only to see management information at a glance, but provides the ability to simply 'double click' and 'drill-down' into further detail, right down to the original transaction entries.

This feature is particularly useful when viewing data by periods or even in graphical form. For example, whilst viewing a graph a user can choose to drill-down to the source transactions in order to understand any abnormal highs or lows.

Detailed information - and tighter control - in seconds The same functionality extends into the Sales & Purchase Ledger: from any of the customer or supplier balances, further information is literally a click away.

The history window, as in the General Ledger, allows an instant picture of the monthly trends. By simply using the drill-down option, users can instantly interrogate the relevant transaction lists for each period in seconds.

Exchequer's interactive stock drill-down provides a unique view of your stock groups, sub-groups and stock items. If goods were manufactured or assembled, then you can even drill-down into the original Works Orders.

Using Exchequer's powerful Stock module, users may also choose to drill-down into any customer or supplier invoice/order. They may even see the serial or batch number tracking details, along with the historical notes for the item on the order.

Open Period

Unlike most accounting systems, Exchequer does not have time-consuming period-end or year-end routines, which often destroy the valuable data that you have entered.

Exchequer keeps history for as long as you want, and you can go back to view or print reports for any previous period or year. Imagine the power of being able to draw upon your rich historical data for analysis and comparison, or being able to start a new year without having to wait for time-consuming year-end adjustments.

Users with the highest level of security can also post transactions to previous periods and all balances are automatically brought forward.

Navigation

It is vitally important, especially in an accounting environment, that data entry is fast, flexible and above all user-friendly.

Working the way you do Exchequer has been specifically designed to suit all levels of users, from novice to power users who need to jump around all areas quickly. Navigating your way around Exchequer can be achieved using either the drop-down menus, the speed buttons, or by using the function key short-cuts - whichever suits your style.

The context-sensitive help in Exchequer is second to none. There is a 'What's this?' help facility on every field and button within the system, together with tutorials, guides and examples.

Future Proof

Future-proofing is a vital ingredient of your accounting solution. You need to know that your chosen software can grow in size and capabilities, instead of needing to be replaced or upgraded to a different and unfamiliar version as you add more users.

Exchequer is completely scalable from 1 to 100 users. This means that as your organisation grows you don't have to change your accounting and business software for a 'bigger' solution.

Exchequer works in exactly the same way, whether there are 1, 10 or 100 users. You just add on additional users when you need to ? no upgrades to new software and no re-training time and costs for new and existing staff. Don't underestimate the expense and disruption this avoids.
